Document Control Manager
General Matter is seeking a Document Control Manager to join our Engineering, Procurement, & Construction (EPC) team supporting the buildout of our manufacturing facilities in Paducah, KY.
This role works closely with project management, infrastructure engineering, project controls, and procurement from installation through start of production. The Document Control Manager oversees construction and engineering documentation within the document control system, supports coordination and correspondence with subcontractors and vendors, and assists with monthly billing, certified payroll tracking, and other routine compliance and administrative functions for the EPC team.
Responsibilities
- Initial opportunity for the projects in Kentucky with room for growth of a document control in other regions.
- Management of data, invoice reconciliation, and purchase order (PO) information for Subcontractor billings to ensure accurate and timely payment.
- Acts as liaison between vendors, subcontractors and other external partners to resolve invoicing and payment inquiries.
- Management of permit submission and issuance across multiple projects
- Management of permit drawing compliance with the applicable authority having jurisdiction (AHJ) requirements.
- Enters and tracks project documentation (RFI’s, submittals, transmittals, correspondence, daily reports, etc.) in the company document management software.
- Supports daily office administration and Document Control Specialists across multiple projects.
- Perform additional assignments per management’s direction.
- Manages the collection, filing, tracking and processing of Subcontract payroll on a weekly basis ensuring accurate and complete records submitted to assigned regulatory agencies.
- Support published corporate policies.
Basic Qualifications
- High School Diploma or GED required.
- 5+ years administrative experience in the construction industry required.
- Ability to work in MS Office Suite, including Word, PowerPoint, Outlook and Excel required.
Preferred Skills and Experience:
- Evidence of exceptional ability (prior projects, portfolio of work, completed products, etc).
- Experience in a fast-paced engineering environment or a highly technical role requiring a resourceful, entrepreneurial approach to complete tasks within tight timeframes or budget constraints.
- Experience managing document control direct reports.
- Previous experience on a nuclear construction project is a plus.
- Advanced knowledge of construction industry and project business procedures.
- Developing knowledge of subcontractor invoicing and accounts payable cost coding.
- Experience with document management software.
- Proven initiative, organization and self-prioritization.
- Friendly disposition and customer service attitude.
- Able to maintain strict confidentiality and discretion with company and personnel information.
- Knowledge of union and certified payroll requirements and record keeping preferred.
Additional Requirements:
- Ability to work extended hours and weekends as necessary.

Compensation and Benefits
The base salary range for this role is $100,000–$160,000 annually.
Compensation bands are determined by role, level, location, and alignment with market data. Individual level and base pay is determined on a case-by-case basis and may vary based on job-related skills, education, experience, technical capabilities and internal equity. Please note that the stated salary range is an estimate and may be adjusted based on market conditions, business needs, or other factors. In addition to base salary, for full-time hires, you may also be eligible for long-term incentives, in the form of stock options, and access to medical, vision & dental coverage as well as access to a 401(k) retirement plan.
