The Program & Housing Assistant is a temporary role to support programming operations at the study center. On site staff are committed to supporting future and current organizational objectives through the design, implementation, and execution of strategic, innovative, data-driven, and research-based practices in support of Verto's mission. The on-site staff serve as champions across the organization to ensure each and every practice creates a significant impact on the student experience as well as organizational goals aligned with the Mission and Vision of Verto Education.

The Program & Housing Assistant serves in a key role responsible for supporting the day-to-day functions of the Study Center administrative, student success program activities activities. The Assistant collaborates with the Program Director as well as other onsite teams as directed, to comply with administrative requirements of the Study Center so as to maximize the day to day efficiency of the work-flow.

Responsibilities:

  • Under the supervision of SSM and Director of Student Success assist with coordination of program housing including but not limited to: Planning of housing assignments, SaleForce submission of Housing assignments, planning of check-in and check-out procedures.
  • Be the primary contact for students in case of escalated housing concerns
  • Manage housing inbox assuring prompt response to students
  • Liaison communication between students and housing providers and monitor maintenance requests resolution.
  • Work in collaboration with the Student Success team to ensure any student accommodation maintenance concerns are resolved.
  • Assist with the development and dissemination of program materials, including orientations, handbooks, and informational resources.
  • Support program evaluation and assessment efforts, gathering feedback from participants and stakeholders to inform program enhancements.
  • Contribute to the development and implementation of initiatives to enhance the overall student experience
  • Support the Program Director with the submission of reports, paperwork, and projects on time and with attention to detail.
  • Fill in for Student Support Advisors as needed.
  • Create and maintain a student-centered environment by engaging regularly with students and guests.
  • Educate students on Verto policies and procedures, including safety guidelines, Code of Responsibility, and Academic Actions.
  • Preserve the confidentiality of personal information obtained during employment.
  • Serve in an on-call rotation to address community needs and respond to emergencies according to protocol.
  • Educate students on Code of Responsibility, and Housing policies.
  • Write incident reports promptly, ensuring clarity, accuracy, and appropriate detail.
  • Assess student programmatic needs and ensure they are addressed with the necessary resources in a proactive manner
  • Front desk shifts in rotation with Student Success Staff
  • Sign for deliveries and ensure all mail and packages are distributed accordingly.
  • Manage any general email inquiry inbox and funnel questions to the appropriate staff member.
  • Provide administrative support to all team members as necessary

Qualifications:

  • Previous experience in student support, advising, or similar roles preferred.
  • Excellent organizational, time management, and communication skills.
  • Proficiency in relevant software applications and ability to learn new systems quickly.
  • Ability to handle crisis situations calmly and effectively.
  • Strong interpersonal skills and commitment to fostering inclusive communities.
  • Knowledge of international education or study abroad programs is advantageous.
  • Flexibility to work occasional evenings, weekends, and travel as needed.

WORK AND ENVIRONMENTAL CONDITIONS

  • Program Assistants will be expected to attend overnight trips in which accommodations and schedule may differ from typical conditions
  • The work pace is continually fast-paced and work is required for more than 4 hours at time
  • The environment in which the job is performed outside may include exposure to extreme temperature, noise, heights, or other hazards
